No Lead Gets Lost: Attribution and Booking in Your Own Hands

Which video, which ad, which post brought in the contact? We store origin and check answers in our own database first and only then sync them to the CRM.

PostgreSQL, UTM parameters, Google Calendar integration, CRM sync with retry logic

A prospect completes our 3-minute check and books a first conversation. In the CRM, we then want to see which video or channel they came through and what they answered, without having to ask them. The question “How did you hear about us?” produces vague answers. Only what is captured at the first click can be measured.

Store first, then sync

When the page is opened, we capture the link's UTM values and record them per visit. When someone completes the check, our own PostgreSQL database stores answers and origin together. Only then is the contact transferred to the CRM. If a third-party system fails at that moment, nothing is lost: the transfer is retried until it succeeds. Tracking takes place within the site's cookie settings.

To ensure a retry does not create a duplicate contact, every record carries a unique identifier. The CRM thus receives exactly one contact with complete origin data, even if the transfer was triggered several times.

Does this sound familiar?

If you do not know which channel brings in your enquiries, or form data gets lost between two tools, let us show you in a first conversation what reliable tracking looks like.

Book a first conversation

Booking is part of it

We also build the booking of the first conversation ourselves. Our own form checks via the Google Calendar integration when we are available and prevents double bookings with a unique rule in the database. If two people book the same slot at the same time, the first one wins and the second immediately receives free alternatives. That keeps the path from first click to appointment in one hand, with no further tool in between.

Three takeaways

  1. Secure data in your own hands first. The CRM is the destination, not the first place of storage.
  2. Origin is measured at the first click, not after the fact. UTM values per visit replace any follow-up question.
  3. Fewer tools between visitor and CRM. Every intermediate system is a place where data can get lost. How we build such connections is shown under Software & Apps.
